OBGYN West, with clinic locations in Minnetonka, Chaska, Eden Prairie, and Waconia, is seeking a full-time Patient Support Services Lead – Front Desk. This position is Monday-Friday clinic hours. Travel to all locations will be required.
Job Summary
The Patient Support Services Lead works full-time as a front desk support services specialist with additional leadership responsibilities. The duties as a front desk patient support services specialist include greeting patients, checking in patients, verifying insurance and demographic information, collecting and processing payments, ensuring patients are communicated with regarding extended wait times, checking out patients, and scheduling follow up appointments as needed. The Patient Support Services Lead will also provide day-to-day support for the front desk PSS staff including scheduling staff, addressing staff call-ins, being available for staff questions, and providing real time training regarding insurance, demographics, Athena and other front desk technology or equipment. They will work closely with the Support Services Manager to ensure key process metrics that impact the revenue cycle (registration errors, time of service collections) are being met, along with completing assigned tasks or special projects. The Patient Support Services Lead will work closely with patients, providers, and other clinician staff in a fast-paced environment.
Essential Job Functions:
- Creates a welcoming atmosphere by greeting patients and guests to our clinic.
- Ensures staff are notified of visitors or vendors and manages visitor process.
- Performs timely and accurate registration, check-in notification of patient arrival of all patients.
- Collecting and processing patient balance payments and co-payments.
- Verifying insurance and scanning insurance cards into our system.
- Completing necessary intake paperwork.
- Ensure the waiting rooms are clean and provide a welcoming environment for patients.
- Accurately scheduling patient appointments and communicating with scheduling staff.
- Communicating with patients regarding any extended wait times or other delays.
- Manage front desk support specialist staff schedule and address any call-ins or time off.
- Address any staff concerns with the assistance of the Support Services Manager.
- Provide real time training to ensure accurate registration and scheduling.
- Maintain confidentiality of all providers, staff, and patient information.
- Adhere to policies regarding safety, confidentiality and HIPAA guidelines.
- Perform other duties as assigned to support OBGYN West’s Mission, Vision, and Values.

- Strong working knowledge of electronic medical records, especially patient demographics, and scheduling.
Work and Education Qualifications:
- High school diploma or GED Required.
- Minimum of two (2) years of related experience in a medical or business environment required; clinic setting preferred.
- Previous experience using electronic medical records, especially patient demographics, scheduling, and Athena experience preferred.
- Previous supervisory or lead experience preferred.
- Experience and understanding of insurance guidelines preferred.
